For brokers and builders

Separate buyers from browsers before anyone picks up the phone.

We learn how you sell, write your rules down, and set up a system that answers, sorts and follows up every enquiry the way you would. Ads, WhatsApp, salespeople and site visits, all on the same rules. Your sales team still makes the calls.

Your playbook

Every firm decides differently. Here is what you can decide.

Each card is a situation your team meets every week, with choices a founder would make. Pick yours, and the system follows them every time.

Your ads, made and run for you
  • One campaign per project, each with its own audience
  • Creatives made with AI for different buyers, approved by you before they go live
  • Price stated plainly, RERA number as registered, real and dated photos
  • Every ad opens WhatsApp with the project already named
A new enquiry at 11 pm
  • Reply at once with the brochure
  • Or a short hello now and the questions in the morning
  • Or you see it first, before anyone else
Sorting buyers from browsers
  • Which questions: budget, timeline, live in or invest, funding
  • Below budget: set aside, offer something that fits, or pass to a junior
  • Nobody thrown away; you can see every lead
Who gets the lead
  • By turn between salespeople
  • By project, area or property type
  • You or a partner copied on every lead, or only the big ones
Before the first call
  • A card with the salesperson's name, photo and calling number
  • The brochure or price sheet
  • The buyer picks the time: now, this evening or tomorrow
When a deal goes quiet
  • Ask the salesperson for a status after two days
  • Tell you after five
  • Or a gentle note to the buyer instead
Site visits
  • Confirm the slot on WhatsApp
  • Remind the day before with the location pin
  • Follow up a missed visit the next morning
Old enquiries
  • New inventory in their budget and area
  • Price changes or a new phase
  • A simple "still looking?" every few months
When someone leaves
  • Leads move to someone else by project
  • Chats, notes and stages stay on each lead
  • The buyer gets a warm hello from the new person

Every firm picks differently. We write yours down first, then set it up.

How we set it up for your property business

We ask first. Then we set it up your way.

What we ask youWhat we set up

Which projects are you selling, and at what budgets?

A chat per project with budget bands, questions and brochure, all on your one WhatsApp number.

Who should get which lead?

Turn-by-turn between salespeople, or a fixed specialist per project, with you or your partner copied.

What stages does a buyer go through?

One pipeline per project: new lead, in chat, chat done, called, visit booked, won or lost.

What happens to old leads?

We bring in your sheets and phone contacts, tag them by project, budget and area, and restart the conversation.

  1. Week 1Projects, budget bands and stages
  2. Week 2WhatsApp chats, brochures and owner alerts
  3. Week 3Ads per project, advisor cards, follow-up nudges
  4. Week 4Old leads restarted, then weekly reviews

Their rules. Their system.

A firm selling several projects asked us to make every enquiry feel like the founder was handling it. This is the setup we built with them. It works for them. Yours will be built on your rules.

Their ruleWhat the system does

"Don't waste a call on someone who can't buy."

Four tap-to-answer questions on WhatsApp before anyone calls.

"But never throw a lead away."

Below-budget leads are set aside, still visible to the founder.

"Every lead has one owner, fast."

Assigned by turn for apartments, to a specialist for plots and showrooms, with the founder copied.

"Buyers don't pick up unknown numbers."

An advisor card with name, photo and calling number before the call.

"Same buyer, never asked twice."

Answers saved on the contact; a repeat chat skips the questions.

"Tell me when a deal goes quiet."

A WhatsApp to the salesperson after two days with no update.

Follow-up

From their setup. Names and numbers changed.

What it does for them, October 2026
  • About ₹200 to ₹260per enquiry for ₹1.5 Cr to ₹5.5 Cr homes, plots and showrooms, from Meta lead ads
  • Minutesfrom the first message to an assigned salesperson
  • Zeromanual data entry for contact, opportunity, notes and owner

Results depend on your market, prices and team. Each business has its own separate account; leads are never seen by or shared with any other client.

Working with Fidus, in their words.

I’ve been using this CRM for the past 2 months, and it has helped me automate and systemize my business. Calls are being booked automatically, and clients are receiving regular follow-ups through email and WhatsApp. My show-up rate has increased, and my closure rate has improved as well. This is a must-have for every…

I want to give a massive shoutout to the incredible team at Fidus Synergies LLP. Finding a vendor is easy, but finding a true tech partner in your progress is rare—and that is exactly what they have been for us during the beta development of our cross-platform Vendor Management application. A huge part of this…

Questions brokers and builders ask
How do I separate serious property buyers from browsers?

Ask before you call. When an enquiry lands on WhatsApp, a short chat asks budget, timeline, live in or invest, and home loan or own funds, with tap-to-answer options. Buyers below the project's budget are tagged and parked, so your salespeople call people who can buy. Nobody is deleted; the owner can still see every parked lead.

What is the best way to follow up real estate leads on WhatsApp?

Reply within minutes with the brochure and a reason to talk, then follow a fixed rhythm instead of memory: the salesperson's call, a reminder before the site visit, and a nudge to the salesperson when a deal has no update for two days. Old enquiries get a short message when something new fits their budget.

Why don't property leads pick up calls?

Most buyers do not answer unknown numbers, and many enquire late at night. Starting on WhatsApp helps: the buyer is already in a conversation, gets the brochure, and receives a card with the salesperson's name, photo and calling number before the phone rings.

Are click-to-WhatsApp ads better than lead forms for real estate?

Both work, and both can feed the same system. Lead forms are quick to fill; WhatsApp ads start a conversation the buyer can continue. We judge them by qualified buyers and site visits, not by cost per lead alone, and keep whichever performs for each project.

How do I reduce site visit no-shows?

Confirm the slot on WhatsApp, remind the day before and a couple of hours before with the location pin and who will meet them, and follow up on a missed visit with a re-book option the next morning.

What happens to our leads when a salesperson leaves?

They stay with your firm. Calls, chats, notes and stages sit on each lead, and leads can be reassigned to someone else with the full history.

Our leads are sensitive. Who can see them?

Only your team, with access you control by person. We do not share or use your data. If you want an NDA, we sign one.

Is this a standard setup?

No. Every firm sells differently, so every setup is different. We start by writing down how you would handle each situation yourself, then set the system up to do the same. The firm on this page is one example.

Who pays for ads, WhatsApp and AI?

You do, directly. Meta ad spend, WhatsApp message charges and AI usage are billed to your own accounts by those platforms at their published rates. Our fee covers setting up and running the system.

Can one WhatsApp number handle several projects?

Yes. The ad's opening message tells the system which project the buyer wants, so each project gets its own questions, brochure, salesperson and pipeline on the same number.

How it is priced

By what we set up for your property business, not per lead. Meta ad spend, WhatsApp message charges and AI usage are paid directly by you to those platforms, at their published rates. We quote after a short assessment, so you know the full cost before anything starts.
