Members don't quit. They stop coming, branch by branch.
Apps remind and software records, yet members still drift away quietly in every branch. We set up one system across your network: the same rules everywhere, check-ins from the trainer each member knows, renewals reminded on time, and a head-office view of where members are slipping. Branch teams still do the training.
- Welcome and first-week plan sent
- Back after 6 days away
- Renewal reminder sent 7 days before
- Birthday on 2 Dec
The problem is the same. The setup fits your size.
Members drift away quietly in a neighbourhood studio and in a national chain. What changes with size is who has to notice, and how many places they have to look.
- Check-ins in your trainers' names
- Renewals and fees on WhatsApp
- Programmes online when you are ready
- Works alongside the brand's app and software
- Your branch's own WhatsApp number, within brand guidelines
- Brand leads and walk-in trials followed up locally
- One view across every branch you own
- Drop-offs and renewals by branch, with a head-office view
- One playbook rolled out to every branch, adjusted locally
- Members never depend on one salesperson or one desk
- New staff start with every member's history
Every fitness brand runs differently. Here is what you can decide.
Each card is a moment that decides whether a member stays. Pick how you want it handled, and the system follows it every time.
- Reply at once with timings, fees and a trial slot
- A reminder before the trial
- After the trial: an offer, a call from the trainer, or both
- A welcome from their trainer by name
- A check after the first few visits
- A small note at 10 visits, so the habit sticks
- Check in after 5, 7 or 10 days away: you choose
- The message comes from their trainer, not "the management"
- You hear about anyone still away after that
- Reminders 14 and 7 days before, and on the day
- Pay on WhatsApp through your own payment account, GST invoice sent
- A loyalty offer for early renewal, or none: your call
- A friendly note after a week
- A restart offer after a month
- Or leave them be: some people come back on their own
- Requests come in on WhatsApp and reach your desk
- You approve, the renewal date moves
- A welcome-back note when the freeze ends
- Offer personal training when progress stalls
- Session and class reminders with seat limits
- Package renewals before the last session
- A birthday wish from the gym
- One year with you: a thank-you
- A good moment to ask who else might join
- We bring in your biometric machine's attendance export, daily or weekly
- Or class check-ins marked in the system
- Each member's last visit stays current, so check-ins go to the right people
Apps remind, rebook and renew. Trainers know every member. We give you both, at any size.

An illustration. Your programmes, prices and steps are yours to decide.
Recorded workouts, PDFs and audio in weeks or levels. The next week opens after a check-in, a quiz or a set number of days.
Workouts done, how the week felt, what got in the way: tap to answer, saved on the client. You are alerted when someone stalls or goes quiet.
Recurring classes with seat limits, reminders 24 hours and 15 minutes before, and the recording sent to anyone who missed it.
Batch groups, a feed, points, streak badges, a leaderboard and a certificate at the finish line.
When a client finishes a programme, the next step is offered: a new level, a membership or 1:1 coaching. Nobody has to remember to ask.
One-time, instalments or monthly. Access follows payment, and an expired plan can step down to the free community instead of a hard cut-off.
No before-and-after promises. We set up the structure and the accountability; you do the coaching. Plan your programme with us →

Working with Fidus, in their words.
I’ve been using this CRM for the past 2 months, and it has helped me automate and systemize my business. Calls are being booked automatically, and clients are receiving regular follow-ups through email and WhatsApp. My show-up rate has increased, and my closure rate has improved as well. This is a must-have for every…
I want to give a massive shoutout to the incredible team at Fidus Synergies LLP. Finding a vendor is easy, but finding a true tech partner in your progress is rare—and that is exactly what they have been for us during the beta development of our cross-platform Vendor Management application. A huge part of this…

How do I get more gym members to renew?
Remind early and personally. Send the first renewal message 14 days before expiry and another 7 days before, with a one-tap payment link, from the member's trainer or the owner by name. A reminder on the expiry day is usually too late.
How do I stop new members from quitting in the first few months?
Notice early. A welcome from their trainer, a check after the first few visits, and a personal message when someone has not visited for about a week bring more people back than any offer. The system watches attendance so nobody has to remember.
Can it work with my biometric attendance machine?
Yes, through your machine's attendance export. Most biometric software can export attendance to Excel; we bring that in daily or weekly so each member's last visit stays current. Gyms that run classes can also mark attendance in the system directly.
Will this replace my gym software?
No. Keep your billing and attendance software, or your brand's app. We set up everything around it: enquiries, trials, check-ins, renewals, fees on WhatsApp and win-backs.
I run a gym franchise. Will this clash with my franchise agreement?
We check your brand's rules first and work within them: how you may message members, how the brand name is used, and who owns member data. The system runs alongside the brand's app on your branch's own account and WhatsApp number.
Can it work across many branches?
Yes. Each branch has its own team, members and renewals, and runs on the same rules. Owners and head office see every branch in one view: who is slipping, which renewals are due and which trials were not followed up.
Do members need to download an app?
No. Everything reaches them on WhatsApp: reminders, payment links, invoices and messages from their trainer.
Can I collect fees on WhatsApp with a GST invoice?
Yes. Payment links go out on WhatsApp through your own payment account, such as Razorpay, and a GST invoice is sent once the payment comes in.
How do I sell an online fitness programme?
Record the sessions once, arrange them in weeks or levels, and let each week open as the client progresses: after a check-in, a quiz or a set number of days. Add a weekly live Q&A, a community and check-ins on WhatsApp, and collect fees as one-time, instalments or monthly. Clients get structure; you stay in their week without being in every session.
Can I run classes on Zoom and send recordings to people who missed them?
Yes. Classes go out with the Zoom link, seat limits and reminders 24 hours and 15 minutes before, and the recording link goes to anyone who missed the class.
How do I keep online fitness clients motivated?
A weekly check-in they answer in a few taps, a coach who notices when they stall, small wins such as streak badges and a leaderboard, and a community of people on the same programme. Most drop-offs happen quietly; the system makes sure someone notices.
Can clients move up from a free challenge to a paid programme?
Yes. A free challenge in your WhatsApp community can lead to a short kickstart, a 12-week programme, a monthly membership and 1:1 coaching. Each step is offered at the right moment, for example when someone completes the previous one.
Who pays for WhatsApp, Meta ads and AI?
You do, directly. WhatsApp message charges, Meta ad spend and AI usage are billed to your own accounts by those platforms at their published rates. Our fee covers setting up and running the system.
Is this a standard setup?
No. Every gym runs differently, so every setup is different. We start by writing down how you would handle each situation yourself, then set the system up to do the same.
By what we set up for your fitness brand, not per member. WhatsApp message charges, Meta ad spend and AI usage are paid directly by you to those platforms, at their published rates. We quote after a short assessment, so you know the full cost before anything starts.
