For gyms and studios

How do you remind gym members to renew on WhatsApp?

When to send it, what to say, and who follows up when there is no reply.

Short answer: send three WhatsApp reminders, 14 days before the plan ends, 7 days before, and on the last day, each with a payment link. If the member still does not reply, someone they know at the gym calls them.

Most members who don't renew never decided to leave. The plan ended, nobody mentioned it in time, and a month later the habit is gone. A renewal routine fixes the "nobody mentioned it" part.

When should the first renewal reminder go out?

About 14 days before the end date. It gives the member time to plan the payment, which matters more for quarterly, half-yearly and annual plans. A reminder only on the expiry day is usually too late.

A simple sequence:

  • 14 days before: a friendly heads-up with the plan and the end date.
  • 7 days before: the renewal message with a payment link.
  • Last day: "Your plan ends today. Reply here and we'll sort it out."
  • A few days after: a call or a personal note from the trainer or the desk, not a template.

What should a renewal reminder say?

Keep it to five things: the member's first name, the plan, the end date, how to pay, and who to message. One action per message. For example:

Hi Aman, your 3-month plan ends on 12 Nov. You can renew at the desk or tap here to pay. Any questions, just reply. Ravi, your trainer

Send it in the name of someone the member knows, the trainer or the owner, not a faceless brand. Avoid long messages, many links or pressure. If you run an early-renewal offer, say it plainly and say when it ends.

Why do members not renew even after a reminder?

Often the problem started weeks earlier. A member who stopped coming in the last month of the plan is unlikely to pay for the next one. That is why renewals work best alongside a missed-visit check-in: when someone has not come in for about a week, they get a short personal message, and the desk sees the list.

To know who has stopped coming, you need attendance data. Most gyms in India already have it in the biometric machine. Its attendance export can be brought in daily or weekly, and gyms that run classes can mark attendance directly.

Can WhatsApp reminders go out automatically?

Yes, with two conditions. They go from your own WhatsApp Business number, and messages sent outside a 24-hour chat window must use templates that WhatsApp has approved, so the wording is set up and approved in advance.

Payment links go out through your own payment account, such as Razorpay, and a GST invoice can be sent on WhatsApp once the payment comes in. WhatsApp and Meta charge per message, and those charges are paid by the gym.

Automatic does not mean unattended. Replies such as "can I pay next week?" or "I want to freeze for a month" come into one team inbox, and a person answers.

What happens when a member asks to freeze?

Treat it as a request to the desk. The member asks on WhatsApp, the manager approves, and the end date is updated before the next reminder is due, so nobody gets a renewal message in the middle of a freeze. Keep the rule simple and written down, so every member hears the same answer.

Who should follow up if there is no reply?

One named person, usually the member's trainer or the front desk. If the last-day reminder gets no reply, that person gets a task to call. A reminder system that nobody owns turns into broadcast noise. A call from someone the member knows often does what three messages could not.

How is this different for franchise gyms?

A franchise usually has a brand app for bookings. That is fine. The renewal conversation can still run from the franchise owner's own WhatsApp number, within the brand's guidelines, because the branch is the one that loses the fee when a member drifts away.

Questions gym owners ask
How many renewal reminders is too many?

Three messages plus one personal follow-up is enough for most gyms: 14 days before, 7 days before, on the last day, and a call or note from a person if there is still no reply. More than that starts to feel like chasing.

Can I send renewal reminders from my personal WhatsApp?

You can send them by hand, but it does not scale past a few members and nobody else can see the replies. A WhatsApp Business number with a shared inbox lets the whole desk work from the same chats.

Do I need new gym software to do this?

No. Keep your billing and attendance software. The reminders work from your member list and renewal dates, and attendance can come from your biometric machine's export.

Who pays for the WhatsApp messages?

The gym. WhatsApp and Meta charge per message, and those charges are paid directly by you at their published rates.
