For salons, spas and chains

Clients don't leave. They just book somewhere else next time.

A client who skips one cycle often never comes back. We remind each client on their own cycle in their stylist's name, refill cancelled slots and renew packages on WhatsApp. One salon or a hundred branches.

How we set it up for your salon

We ask first. Then we set it up your way.

What we ask youWhat we set up

Which services, and how often should each client come back?

A cycle for every service, so each client is reminded when their own cycle comes up, by their stylist.

Where do your client lists and bookings live today?

Your client list brought in from your software or sheets, with last visit, stylist and services on each client.

How do you handle no-shows, cancellations and quiet hours?

Confirmations, a waiting list for busy days and quiet-hour offers that follow your rules.

How many branches, and who runs each?

Each branch with its own team, clients and calendar on shared rules. Owners and head office see all of them.

  1. Week 1Clients, services and cycles in
  2. Week 2Booking, confirmations and reminders on WhatsApp
  3. Week 3Waiting list, packages and payments
  4. Week 4Reviews, quiet hours and win-backs, then weekly reviews

Working with Fidus, in their words.

I’ve been using this CRM for the past 2 months, and it has helped me automate and systemize my business. Calls are being booked automatically, and clients are receiving regular follow-ups through email and WhatsApp. My show-up rate has increased, and my closure rate has improved as well. This is a must-have for every…

I want to give a massive shoutout to the incredible team at Fidus Synergies LLP. Finding a vendor is easy, but finding a true tech partner in your progress is rare—and that is exactly what they have been for us during the beta development of our cross-platform Vendor Management application. A huge part of this…

Questions salon owners ask
How do I get salon clients to come back more often?

Remind each client on their own cycle, not a blanket offer. A haircut client every 4 to 6 weeks, colour every 6 to 8, facials monthly, each reminder from the stylist they know with their usual day and time. Clients who miss one cycle often never come back, so the reminder matters more than the discount.

How do I reduce no-shows at my salon?

Confirm every booking on WhatsApp, remind the day before and on the morning, and make cancelling easy so the slot can be offered to someone else. For bridal and peak slots, ask for an advance through a payment link.

How do I fill last-minute cancellations?

Keep a waiting list of clients who want a slot on busy days. When someone cancels, the slot goes to the list on WhatsApp and the first to reply gets it. Your desk sees who took it.

Will this replace my salon software?

No. Keep your billing and appointment software. We set up everything around it: enquiries, reminders on each client's cycle, confirmations, waiting lists, packages and reviews on WhatsApp.

Can I sell memberships and packages on WhatsApp?

Yes. Payment links go out on WhatsApp through your own payment account, a GST invoice follows, and clients see the sessions left after each visit with a renewal offer before the last one.

Can it reply to Instagram DMs?

Not today. Instagram ads can open WhatsApp with the service already named, and everything from there runs on WhatsApp. Instagram direct messages are still answered in the Instagram app.

How do I manage bridal bookings?

Capture the wedding date, number of people and services at enquiry, book and remind the trial, take an advance, and send the day's timeline to the family group three weeks before.

I run a salon franchise. Will this clash with my franchise agreement?

We check your brand's rules first and work within them: how you may message clients, how the brand name is used, and who owns client data. It runs alongside the brand's app on your branch's own WhatsApp number.

Can it work across many branches?

Yes. Each branch has its own team, clients and calendar on the same rules, and owners or head office see every branch in one view: who is overdue, which slots are empty and which reviews came in.

Is this a standard setup?

No. Every salon runs differently, so every setup is different. We start by writing down how you would look after each client yourself, then set the system up to do the same.

Who pays for WhatsApp, Meta ads and AI?

You do, directly. WhatsApp message charges, Meta ad spend and AI usage are billed to your own accounts by those platforms at their published rates. Our fee covers setting up and running the system.

How it is priced

By what we set up for your salon, not per client. WhatsApp message charges, Meta ad spend and AI usage are paid directly by you to those platforms, at their published rates. We quote after a short assessment, so you know the full cost before anything starts.
